Aptivio is a job-search tracker. This policy explains what personal data we collect, why, and the choices you have. It applies to the Aptivio website at aptivio.co.uk.
Who we are
Aptivio is a free job-search tracker designed to help you manage your applications, interviews, contacts, tasks and documents in one place. Our aim is to make the job search easier to organise, so you can keep track of your progress and plan your next steps.

What we collect
- Account data: your email address (used as your username) and a password. Passwords are stored only as a salted hash, never in plain text.
- Job-search data you enter: job applications, companies, notes, deadlines, interviews, contacts, tasks and any documents you upload.
- Newsletter data: your email address, if you choose to subscribe.
- Technical data: a session cookie that keeps you signed in. Our servers may record standard request logs (such as IP address) for security and troubleshooting.
How we use it
- To provide the service: store your applications, show your board and dashboard, and send the reminders you configure.
- To send account emails: password reset links and the reminders you set up.
- To send marketing emails only if you opt in. We use double opt-in: you must confirm your subscription by email before receiving anything.
- To keep the service secure and prevent abuse.
Legal bases (UK GDPR)
- Contract: to provide the service you signed up for.
- Consent: for marketing emails. You can withdraw consent at any time.
- Legitimate interests: security, fraud prevention and service reliability.
Cookies
We use a single necessary cookie to keep you signed in. We do not use advertising or analytics cookies. The cookie notice you see records your acknowledgement in your browser's local storage.
Sharing
We do not sell your data. We use service providers to run the app:
- Email delivery: Google (Gmail SMTP) to send account and reminder emails.
- Hosting: Oracle Cloud, where the app and database run.
- Network / CDN: Cloudflare, which provides HTTPS and protects the site.
These providers process data on our behalf under their own terms.
Retention
- Account and job-search data: kept until you delete your account or ask us to delete it.
- Reminder history: automatically deleted after 30 days.
- Newsletter data: kept until you unsubscribe.
Your rights
You have the right to access, correct, delete, restrict or object to processing of your personal data, and to data portability. You can unsubscribe from marketing at any time using the link in every campaign email. To exercise any right, email [email protected].
Security
Passwords are hashed, traffic is encrypted with HTTPS, and access to the admin area is restricted. No system is perfectly secure, so please use a strong, unique password.
Changes
We may update this policy. The date at the top shows when it last changed.
